Setup Guide

Follow our step-by-step instructions to configure your printer with WeScan.

Digital Signatures — Now Available

WeScan now supports digital signatures — scan a document, add your signature right from your dashboard, and send the signed PDF anywhere. No additional software needed.

For best results, set your scanner to output PDF format. Most printers default to JPG. Go to Scan Settings → File Format on your printer's touchscreen and select PDF.

HP Printer Setup

Access Printer Settings

On your HP printer's touchscreen:

  • • Touch the Setup icon (wrench or gear)
  • • Select Network Setup
  • • Choose Email Server or Scan to Email

Enter SMTP Settings

Configure the outgoing mail server:

Enter Authentication

Use your WeScan credentials from the dashboard:

Configure Recipient Email

Set the default "To" address on your printer:

  • • Enter the email address you want scanned documents sent to
  • • This address must be in your WeScan Printer Scan Recipients list
  • • Add scan recipients via the Dashboard before scanning
  • • Note: recipient restrictions apply to printer scanning only — signing and sending signed documents has no restrictions

Tip: Most HP printers have a "Test Email" option. Use it to verify your settings. For digital signatures, set File Format to PDF in your scan settings.

Brother Printer Setup

Open Web Based Management

Access your Brother printer's embedded web server:

  • • Find your printer's IP address from the settings menu
  • • Enter the IP address in a web browser
  • • Log in (default credentials are often admin / access)

Navigate to Scan to Email

In the web interface:

  • • Go to ScanScan to EmailSMTP Settings
  • • Or NetworkProtocolsSMTP

Enter SMTP Configuration

Configure Sender & Recipient

Fill in the authentication and recipient fields:

  • From Address: Use your WeScan SMTP username
  • User ID / Auth: Same SMTP username
  • Password: Your generated SMTP password
  • To Address: An email on your Printer Scan Recipients list

Tip: Use STARTTLS, not SSL/TLS. Brother's menu can be confusing — look for SMTP Port 587 with TLS enabled, not SSL port 465.

Scan Format: For digital signatures (available now), configure your Brother printer to scan as PDF. In Web Based Management: Scan → File Format → PDF.

Epson Printer Setup

Open Printer Settings

On your Epson printer's touchscreen:

  • • Press the Home button
  • • Tap Settings
  • • Select Scan Settings
  • • Choose Scan to Email

Configure SMTP Server

Enter the outgoing mail server details:

Epson handles STARTTLS automatically on port 587.

Authentication & Recipients

Fill in your credentials and recipient email:

Set Send From to your SMTP username and Send To to a recipient from your Printer Scan Recipients list.

Test the Connection

  • • Epson printers offer a Test Email option
  • • Run the test to verify the connection
  • • If it fails, check your credentials and network connectivity

Tip: Keep SSL/TLS set to OFF when using port 587. Epson handles encryption automatically via STARTTLS.

Scan Format: For digital signatures (available now), set your Epson printer to scan as PDF. On the touchscreen: Scan Settings → File Format → PDF.

Canon Printer Setup

Access the Web Interface

Canon printers are best configured via their web interface:

  • • Press the Settings button on your printer
  • • Navigate to Network SettingsIP Address
  • • Enter the IP address in a web browser from any computer on your network

In the web interface:

  • • Go to Settings/Registration
  • • Select Network Settings
  • • Choose TCP/IP SettingsSMTP/E-mail Settings

Set Send From to your SMTP username and specify the Default Recipient.

Tip: Canon's web interface provides the most detailed configuration. Use it instead of the printer's touchscreen if you have trouble finding the SMTP settings.

Scan Format: For digital signatures (available now), set your Canon printer to scan as PDF. In the web interface: Settings → Scan Settings → File Format → PDF.
